2. --  2010 RECITAL PACKET

Dress Rehearsal & Recital Information

IMPORTANT NOTES

  • All rehearsal and recital dates are mandatory!
  • We will have a Thursday evening dress rehearsal, Friday evening show, Saturday morning dress rehearsal and Saturday evening show.  Additional information is listed below.
  • We are guests at the Centene Center.  Please keep an eye on your children throughout the rehearsal/recital activities.
  • NO food or drinks in the auditorium!
  • If there is a performance on stage, please do not enter or exit the auditorium.  It is distracting to the performers when there is a lot of movement in the room.
  • No flash photography when a routine is on stage.  A flash should never be used during any type of performance.  The flash could easily impair the vision of the dancer/acrobat and could potentially result in an injury.  You are welcome to take as many photographs as you would like but please remember to turn off your flash.
  • You may video tape the dress rehearsal(s) but NO outside video during the recital performance.  This helps protect the T&P staff choreography and their countless hours of work.  A professional videographer will be taping this event.  Additional information is included in this packet.
  • DANCERS--Please do not wear your costume(s) while sitting in the audience or walking through the lobby.  You must always have on a cover-up when you’re not in the backstage area.  T&P apparel can be used as a cover-up.

6:00pm

Recital Start Time

The recital will begin promptly at 6:00pm.  There are 36 acts in each recital with a ten minute intermission.  The approximate length of the show is 2.5-3.0 hours.  We have a tentative line up put together and plan to share this with you once we’ve finalized a few more details.

 Recital Notes:

  • We recommend arriving with hair and make-up complete, leaving only your costume to put on in the dressing room.
  • Every student is required to attend the recital.
  • Please remember to bring your T&P black t-shirt/jersey and solid black shorts for the finale.  (Additional Finale Info Listed Below)
  • Our backstage area will be very structured.  You will not be allowed to enter and/or exit at your leisure.  Within the next couple of weeks, you will receive a handout that includes information about what to expect backstage and in the dressing rooms.
  • It is very important to us that the auditorium has as little movement as possible.  To help us accomplish this, we do not allow our performers to enter and/or exit the theater at their convenience.  For the most part, the performers will remain backstage for the entire length of the show.  However, we will try to arrange a special drop-off and pick-up time for our younger dancers.  Additional details will be passed out to you once we have posted our finalized line-up.
  • We prefer that once you enter the theater, you wait until intermission to exit.  However, we completely understand that is not always possible.  If you do need to exit, please be respectful to those who are performing and ONLY enter and/or exit in between routines.
  • Dancers who sit in the auditorium will need a ticket but will not be charged the $2.00 ticket price.  Performers are free.
  • Dancers who sit in the auditorium will need to have on a cover up.  Absolutely NO costumes in the auditorium during the recital!!!!
  • Please make sure your family and friends understand our rules and expectations.

5. Finale (Student Introductions & Trophy Presentation)

Finale:

The Finale will be held at the end of the recital and will include every dancer from that show.    This is an opportunity for us to introduce the audience to the stars of our show.

  • Immediately after your last performance, change into your finale attire.

Trophy Presentation:

Since our company dancers participate in both shows, the trophy presentation will be a little tricky this year.  Instead of passing out trophies during the student introductions, we will pass them out after the finale is finished.  The trophy presentation will not be in front of an audience.

  • After the finale, and your final show, the T&P staff will meet you at the trophy table to personally hand them out.  This is also an ideal time to take pictures with your teacher.

6. Finale Apparel

Instead of ordering recital jerseys this year, we have decided to give you a little more freedom in your finale apparel.

*Black T&P Shirt

*Solid Black Shorts

*Capri Tights or No Tights

*No Shoes (foot mitten optional)

If you do not have a black T&P shirt, or you would like a new one, we will be stocking our boutique with some new items within the next couple of weeks.  We have ordered black 2010 jerseys, t-shirts, boy-beaters, tie-dye shirts, shorts, etc…

Everything will be sold on a first-come, first-served basis.  We will not be placing a second order for items we sell out of.

 7. Parent Volunteers (Backstage & Dressing Room)

We will need quite a few parent helpers backstage and in the dressing rooms.  In a couple of weeks, we will pass out a detailed note describing volunteer duties.  You will also receive a handout that includes information about what to expect backstage and in the dressing rooms.  Once you receive this note, we will put a parent volunteer sign-up board in our lobby.  Our recital is a group endeavor and we sincerely appreciate your hard work and dedication!  Our show is impossible without help from of our volunteers.  We sincerely thank you in advance!!!

8. Recital DVD

A DVD order form will be available closer to the recital date.  You will also be able to pick up an order form at the videographer’s table during the rehearsal or the recital.  You are welcome to place your order early by leaving your form and payment with an office staff member at the studio.  Otherwise, you can wait and order directly with Vaccaro Video Productions during either the rehearsal or recital.

  • You may use your own video camera during the dress rehearsal but no outside video will be allowed during the recital.  This helps protect the T&P staff choreography and their countless hours of work.
  • You are welcome to take photographs during both the rehearsal and the recital but for the safety of the performers, PLEASE do not use a flash!!

9. Flowers

Acknowledge those special moments and milestones by giving flowers to friends and family to congratulate them at the recital.  Butterfield Florist & Gifts will be available the day of the recital to take care of your flower needs.  You will be able to purchase individual flowers or arrangements, pre-orders are not necessary but you do have the option of doing so.  If you would like to pre-order an arrangement, please call or stop by Butterfield’s.

Butterfield Florist & Gifts  -  302 West Columbia, Farmington, MO 63640  -  573-756-6695 / 1-800-627-2953 / www.butterfieldsflorist.com

 10. 2010 Yearbooks

If you are new to our studio, you may not have seen our past yearbooks.  This book gives us the unique opportunity to keep our yearly highlights in one convenient place.  Unfortunately, not many of you ordered books last year, so we will not be taking pre-orders.  We will still put something together this summer but it will not be as intricate as previous years.  It takes so much time, energy and effort that we can only justify doing so if there is a lot of interest.  From this point on, the primary intent of the book will be for display use in our lobby.  However, we will offer a one-time order to those who are interested.  If you have not had the opportunity to look through our past yearbooks, and would like to do so, please see a T&P staff member.

 11. Tickets

The recital ticket will be set up like an invitation.  It will include all the necessary info for your family and friends.  Please make sure everyone knows they must have a ticket to enter the theater.  If a ticket is forgotten, another one will need to be purchased to attend.  Those who pay at the door are taking the risk we could sell out.  Please make sure your family and friends are aware it is a good idea to purchase tickets in advance to secure their seat.

  • Each family will receive two complimentary tickets to the recital they’re a part of.  If you’re in both shows, you will receive two tickets per show for a total of four.  Even though we’re selling tickets, we’re not having reserved seating.  Doors to the auditorium will open thirty minutes prior to show time.  Seating will be on a first-come, first-served basis.
  • Additional tickets -- $2.00 each.
  • Tickets will go on sale Monday, May 10th, 2010 at 3:30 P.M.
  • See an office staff member to purchase tickets.
  • Please pick up your complimentary tickets on or after Monday, May 10th.
  • Most performers will remain backstage for the entire length of the show.  If a dancer is able to watch, they will need a ticket but there will be no charge.  This will, however, only be some of our younger recreational dancers.  If we have approved your child to leave the backstage area to watch, you will receive specific check-in/out instructions from you teacher before we begin ticket sales.

 12. Account Balances

All accounts must be current with a zero balance before May 20, 2010, or the student will not be allowed to participate in the rehearsal or recital performance.

13. Summer Schedule

We are almost finished putting together our summer class information.  We will post this information on our website, pass it out in class and post it on our studio bulletin board.  We also plan to pass out our summer information at the recital.

 4.  Backstage Expectations & Job Descriptions

What to expect at our Recital…

Our backstage expectations may be a little different than what you’re used to, so please read this carefully.  It takes a lot of hard work from our entire dance family to produce a successful show.  We can’t do this without you and we’re extremely grateful for the time, energy and efforts you plan to give.  Thank you in advance!!!!!

We need volunteers for both the backstage area and the dressing rooms.  We cannot do this without your help!!  COMPANY PARENTS – Your children are in both shows, and you’ve seen their routines numerous times, please volunteer for as much as you can to help our recreational parents.  We encourage you to sign up with groups that don’t involve your son/daughter.

ALL Volunteers…Even if you’re working backstage, you will still be able to watch your son/daughter’s routines.  You can either watch from backstage or you may quietly enter and watch from the back of the theater.

Auditorium Expectations:

  • We do not allow a lot of movement throughout the auditorium during our show.  We prefer for you and your guests to stay seated until intermission but we do understand that is not always possible.  If you absolutely need to exit the auditorium, please only do this between acts.  Keep in mind that it only takes us about thirty seconds for an entrance and exit.  Our show will move very quickly!!  Also, most of our routines are approximately three minutes in length.
  • The doors to the theater open at 5:30pm on both Friday and Saturday evening.  We don’t mind for you to save a seat or two but it cannot be an excessive number.  You may not save seats by using blankets.
  • We do not allow costumes inside the auditorium.  You may wear your finale apparel as a cover up.  Please plan ahead!!

Dressing Room:

  • We do not allow our dancers to leave the backstage area during the show.  Once checked in with the dressing room helper, the dancer will need to stay backstage for the entire length of the show.  However, if a dancer is only in one act per section, we will do our best to make arrangements for them to watch.
  • Dancers must be signed in and out by their parent.  Dancers will not be allowed to leave the dressing room area without their parent.  The dressing room helper will be the one responsible for signing dancers in and out.
  • ALL dancers need to stay backstage during intermission!!!!!!!!!

Dressing Room Helpers:

  • If you sign up to work in the dressing room, you will need to meet backstage at 5:00pm.  Those who help in the dressing rooms will need to stay backstage for the entire length of the show.  You can either watch your son/daughter from backstage or quietly from the back of the theatre.  You will be given a list of students you are responsible for.  Each child will need to be signed in and out by a parent.  A sign-up board is located in the lobby.

Greeters:

  • If you sign up to be a greeter, you will need to meet backstage at 5:15pm.  The doors to the theater will open at 5:30pm.  We need two people to help seat spectators and four people to pass out programs.  A sign-up board is located in the lobby.

Backstage Helpers:

  • If you sign up to work backstage, you will need to meet there at 5:00pm.  We need two volunteers to locate dancers, one to work stage right, one to work stage left and one to do random jobs including props and opening and closing the curtain.  We need a total of five volunteers to work in the backstage area.  A sign-up board is located in the lobby.

Clean Up:

  • All dancers and parents need to help us pick up the dressing rooms, auditorium and lobby.  If everyone does their part, this will be quick and easy!!

IMPORTANT NOTES:

  • If you’re not in the first section of the show, you may watch it from the audience.  You will need to check-in backstage as soon as the last act finishes and the intermission begins.  You still need to arrive at the same time and participate in the warm-up that happens before we start.

  • If you’re not in the second section of the show, you can check-out backstage at intermission.  Only those who get special arrangements approved can check-out before intermission.

  • To check-out early, you must approve it in advance with Teresa.  All arrangements need to be made on or before May 19, 2010.  This is a VERY busy time for our staff, so we will not approve requests during our rehearsals or recitals!!  Thank you in advance for your cooperation.  (triplettandpropst@hotmail.comor 573.747.9995)

  • The dressing room helpers will have a list of students who have permission to leave early.  They cannot make any exceptions!!

If you do sign out early to watch the show, please make sure you quietly enter and/or exit the theater.  Also, we do not allow costumes in the auditorium.  It would, however, be a good idea for you to put your finale apparel on in advance.  You will need to meet backstage for the finale immediately following #32/#33 “Imagine”.
